The International Red Cross and Red Crescent Movement is the largest humanitarian network in the world. Its mission is to alleviate human suffering, protect life and health, and uphold human dignity especially during armed conflicts and other emergencies. The Federation inspires, facilitates and promotes all humanitarian activities carried out by its member National Societies on behalf of the most vulnerable people. It directs and coordinates its members’ actions to assist the victims of natural and technological disasters, refugees and those affected by health emergencies. It was founded in 1919.
Job Summary
- Under the direct supervision of Protection Data Manager, the Protection Data Analytics Officer supports and monitors data management processes within the Protection department of the ICRC Delegation in Nigeria, to enable evidence-based decisions and improvements in the area of data entry, quality, support and analytics.
- She/he also supports in the running of the Protection Office: archiving/filing of Protection documents and carrying out administrative tasks to ensure a proper functioning of the Protection Office.
Main Duties and Responsibilities
- In charge of the physical filing of Protection individual files and other non-confidential documents.
- Supports the electronic filing system of the department - Team Space (TS), to the extent allowed by the level of confidentiality.
- Organizes and follows up the filing arrangements for Protection of Family Links (PFL) related individual cases, including the re-arranging of the content of the filing cabinets when it is necessary.
- In charge of cleaning and merging closed individual cases received from the field or followed by other ICRC delegations.
- Keeps track of all individual files taken out and ensures that filing rules and procedures in this matter are applied.
- In charge of the “archive documents” and ensures that such documents are shared with Geneva in a timely manner.
- Ensures a proper treatment of incoming & outgoing mails from/to other offices in Nigeria, Geneva and other ICRC delegations.
- Manages the inventory of materials and stock levels for all Protection team in Abuja (stationary, business card, …), as well as the protection communication materials, while ensuring their timely order & delivery.
- Makes in this regard the liaison with the sub-delegations and ensures their supply when required.
- Ensures contact with other internal departments (Welcome, Logistics, Administration, Premises, Chancellery, and ICT etc.), to follow-up on various needs of the Protection Department (incoming staff, visitors, etc.).
- Updates regularly the protection organization chart.
- Is the focal point for the Information Management Unit and regularly liaises with the Information Manager (IM) unit on updating emailing groups, ensuring the protection TS library is organized in compliance with the IM rules.
- Ensures job descriptions (JDs) of protection staff members are regularly uploaded and updated for outgoing/incoming staff.
- Encourages organisational and individual responsibility towards the community and environment.
Education and Experience Required
- University degree, or equivalent higher education in Administration; Social Sciences; Library and Information Science/Management.
- At least 3 years of professional experience in a similar function.
- Advanced command of written and spoken English. Knowledge of local languages an asset.
- Excellent computer skills, including Microsoft Office Suite.
