Job Description:
As a Data Entry & Procurement Officer, you will be responsible for maintaining accurate records of procurement transactions, performing data entry tasks, and providing support to the procurement team to ensure the timely and cost-effective procurement of goods and services.
Job Functions/Responsibilities
- Enter procurement-related data into the company's procurement system with a high level of accuracy and attention to detail.
- Maintain up-to-date records of purchase orders, delivery receipts, invoices, and other procurement documentation.
- Ensure completeness and accuracy of data entry to facilitate effective procurement tracking and reporting.
- Assist in sourcing suppliers/vendors for goods and services required by the company.
- Request and evaluate quotations from suppliers based on price, quality, and delivery terms.
- Collaborate with the purchasing team to prepare purchase orders and follow up on order status as needed.
- Communicate effectively with vendors regarding order inquiries, delivery schedules, and quality issues.
- Build and maintain positive relationships with vendors to ensure timely and efficient service.
- Address any issues or discrepancies related to orders, deliveries, or invoices in a timely manner.
- Maintain organized and accurate records of procurement transactions and vendor information.
- Prepare and maintain documentation related to purchase orders, contracts, and vendor agreements.
- Ensure compliance with company policies and procedures related to procurement and data management.
- Assist in preparing reports and analysis related to procurement activities, spending, and vendor performance.
- Provide insights and recommendations based on procurement data analysis to support decision-making processes.
- Support internal and external audits by providing necessary documentation and explanations as needed.
Requirements/Qualifications
- Minimum of OND/HND (Ordinary National Diploma/Higher National Diploma)/BSC in Business Administration, Economics, or related field.
- Degree in Accounting, business management or a similar field preferred is an added advantage.
- 1year of experience as a procurement officer or in a similar position
- Strong computer skills, including proficiency in Microsoft Office applications and data entry software.
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Effective communication and interpersonal skills.
- Ability to prioritize tasks and work under pressure in a fast-paced environment.
- Willingness to learn and adapt to new systems and processes.
