Job Functions

The position takes overall responsibility for efficient and accurate representation of client level paper-based medical records into the appropriate client-level databases especially the Laboratory Information Management System (LIMS), remote sample log-in (RSL) and the LAMISPlus EMR system. Of particular note is need for day-to-day tracking and printing of viral load results from the LIMS platform to ensure that VL result are promptly retrieved from the LIMS, updated in the LAMISPlus and properly stored in the client’s personal folder (care card). The position holder also assists in routine (weekly/monthly) data analysis and accurate reporting into the aggregate-level database (DMEL, HFR/APPR).

Essential Duties and Responsibilities

  • Maintains an effective and efficient records management system (Complete, accurate and of good quality) of all Laboratory related entries (Viral Load, Recency, Creatinine, etc) on the LIMS, RSL, and EMR-LAMIS.
  • Ensure accurate, complete and timely entry of all Viral load (VL) Sample Collection and Results Retrieved, into the EMR (LAMISPlus) and the Laboratory Information Management System (LIMS) databases.
  • Takes responsibility for accurate representation of client’s Hospital number/UID from the care card into all laboratory source documents including the LIMS.
  • Ensure timely Viral Load result retrieval from the Laboratory Information Management System (LIMS).
  • Ensure printing and appropriate filing of VL Results in the clients’ folders.
  • Communicate timely availability of VL Results with the Laboratory and Clinic team.
  • Communicate timely with the Laboratory team UID of all recency testing done for update on the recency register.
  • Ensure timely Automated Partners Progress Report (APPR) update of achievement routinely.
  • Assist in routine tracking of VL sample collection & result retrieval rate.
  • Assist with routine Viral Load and PrEP data table review and analysis for completeness and correctness.
  • Summarize and update aggregate level data entry on DHIS-DMEL and any other required external and internal templates.
  • Maintains confidentiality of information on source documents and EMR.
  • Perform other M&E-related duties as assigned.
