Yobe Peace and Community Development Initiative (YOPCODI) is a registered National civil society organization (CSO) working to expand equitable access to quality basic services for vulnerable communities especially by women, children, adolescents and youth in Northeast Nigeria. Our Head Office is located in Damaturu- Yobe state. Our work engaging government and community stakeholders for improved service delivery in humanitarian and development sectors with specific attention to access to healthcare, education, protection livelihoods as well as peace and conflict resolution in a manner that ensures accountability by both demand and supply side actors. We deliver people-centered programs and service through partnerships and collaborations with communities, governments, as well as international humanitarian and development agencies.

Job Summary

  • The Data Base Management Officer is responsible for gathering, researching, compiling, documenting, archiving, updating, packaging and sharing of critical information, best practices and learning.
  • Therefore, the Date Base Management Officer will ensure that the implementing activities are designed and are carried out in a structural and systematic coordinated manner and in line with donor requirements, YOPCODI’s standards, project agreement and commitments.

Specific Duties and Responsibilities

  • The incumbent is responsible for implementing YOPCODI’s data, information and learning Work plan, such as but not limited to gathering, documenting, archiving, packaging, analysing and sharing of critical information;
  • S/he will be responsible for establishing and maintaining tools, systems and database for information and learning across YOPCODI programs.
  • S/he will co-ordinate closely with the Project Coordinator, M&E Manager, project staff and other Consortium Team Members to build the technical capacity of implementation, and improve program quality and effectiveness of the project implementation and current response/ project as well as any future recovery activities;
  • Captures learning and case studies, systematically document, research, compile and utilize for external influence, to inform strategic direction, strategic planning, for reporting and other organizational objectives;
  • Establish and nurture lessons learned and best practices at different level.
  • Train staff on information, learning, data and knowledge management;
  • Establish an innovative, user friendly, reliable, and up-to-date internal information database for experiences sharing, knowledge sharing, information sharing and make it accessible;
  • Prepare case studies and success stories and share learnt lessons to internal staff and externally as appropriate;
  • Assist in dissemination of information about the organization’s information and knowledge sharing program to internal and external audiences across different social media platforms;
  • Contribute to monitoring and submission of timely and quality reports as per the reporting requirements;
  • Working closely with the M&E Unit, ensure quality Programme delivery, documentation and reporting of activities in the respective hosting communities;
  • Effectively support the projects staff and partners in developing weekly, monthly, quarterly plans, in line with YOPCODI’s best practices, and ensure compliance with the agreed work plans and that Programme objectives and targets are being achieved in line with the project proposal, work plan and budget assiduously;
  • Ensure that the projects’ data quality benchmarks for project implementation are adhered to and implemented in project interventions;
  • Support in collecting and managing complaints and feedback in close coordination with MEAL team and other project Team;
  • Participate in regular monitoring of projects results, documentation of projects case studies, lessons learnt, significant changes and best practices and coordinating learning and reflection meetings/sessions;

Safeguarding:

  • Ensure that project delivery complies to the highest safeguarding standards in line with YOPCODI’s core values and policies;
  • Work with the Protection and Gender Officer to ensure that all project activities have a safeguarding risk assessment and mitigation measure in place;
  • Ensure safe programming in the planning, implementation, and monitoring across the project period;
  • Adhere to the Do no Harm principles across the entire steps within the Programme Management Cycle;
  • And any other tasks assigned by the HR Unit and your Line Manager in line with the core values, missions, visions, and objectives of the organization-YOPCODI.

Qualifications and Requirements

  • B.Sc in Information Technology, Statistics, Computer Science, Humanitarian Studies, Information Management, Social Sciences, Management Sciences, or its equivalent in a relevant field
  • Experience of working in humanitarian or development setting is an added advantage;
  • Experience in Education, GBV, Child Protection, Livelihood, WaSH, or Health in emergencies Programs, preferably in Northeast Nigeria
  • Honest, disciplined, accountable, encourages openness and transparency, demonstrates highest levels of integrity, efficiency in task delivery and sacrifice;
  • Knowledge of any software Data Base Management towards improved quality of project success stories is an added advantage;
  • Strong understanding of project implementation principles, practices, and techniques;
  • Ability to read and interpret blueprints, graphics, and specifications;
  • Excellent written and spoken communication skills (in both Hausa and in English Languages), leadership, and project management skills;
  • Ability to multitask, stay organized, and work well under pressure;
  • Proficiency in Microsoft ACCESS, Word, PowerPoint, Outlook and Excel;
  • Strong humanitarian acumen and ability to work well across different functions in order to integrate people’s strategies into organizational objectives and mission;
  • Strong interpersonal skills with the ability to build strong relationships with host communities, based on mutual respect, professionalism, dignity and trust;
  • Proficiency in accountability and a commitment to confidentiality with tact and discretion in humanitarian setting.

The candidate should have the following soft skills:

  • Time management for task prioritization and deadline adherence;
  • Paying attention to details and strong communication skills, with an ability to integrate information/inputs from across the project to produce relevant products (documents, tools, processes) for success stories;
  • Openness to learning, re-learning, and un-learning;
  • Ability to react via being assertive, identify and respond to demands accordingly;
  • Experience of developing and delivering coaching and training to a range of audiences across different cultures and abilities;
  • Experience of collecting and compiling stories, video and photographs;
  • General proficiency, familiarity with core values of humanitarian values;
  • Discretion and ability to handle confidential humanitarian core values information;
  • Interpersonal skills for collaborative teamwork and strong organizational skills;
  • Effective and efficient in research and report writing;
  • Teamwork, and cultural sensitivity for diverse interactions;
  • Adaptability and flexibility to take on new tasks and responsibilities;
  • Excellent facilitation and presentation skills;
  • Demonstrated capacity for teaching & coaching, engaging approach to training and orientation session delivery;
  • In depth understanding and experience of Date Base Management with minimum standards.
