Job Overview

  • The MIS Data Officer is responsible for collecting, analyzing, and managing administrative data across all SPAR stores nationwide.
  • This role ensures efficient information dissemination, accurate record-keeping, digital documentation, and data-driven reporting to support business decision- making.
  • The officer also monitors key operational parameters such as energy consumption and administrative expenses while ensuring compliance with reporting standards.

Key Responsibilities:

Data Collection, Analysis, and Reporting

  • Collate and analyze all administrative-related data from SPAR stores nationwide.
  • Generate daily, weekly, and monthly reports on key operational metrics, including diesel consumption, complaints, fire management, and administrative expenses.
  • Track and report key performance indicators (KPIs) for administrative operations.

Information Management and Record-Keeping

  • Maintain a centralized information database for administrative activities at the Head Office.
  • Digitally document all admin-related records, ensuring easy access and retrieval.
  • Design standardized formats for record-keeping and train store admin officers on their implementation.

Energy and Diesel Consumption Monitoring

  • Monitor and analyze diesel (utility tracker), gas, and PHCN energy consumption across all stores.
  • Maintain accurate records of diesel stock levels, minimum and reorder levels, procurement, and aligning with Finance Department.
  • Manage and operate the Diesel Monitoring System to ensure efficiency and cost control.
  • Provide reports on energy consumption trends and recommend cost-saving strategies.

Complaints Registration and Follow-Up

  • Register and track complaints from stores nationwide.
  • Ensure timely follow-up and resolution of complaints to improve operational efficiency.
  • Maintain detailed records of issues and resolutions for reference and trend analysis.

Administrative Support and Coordination

  • Compile minutes of periodic and emergency meetings, both internal and external.
  • Coordinate and prepare Preventive Maintenance Schedules for all stores nationwide.
  • Support asset data management, ensuring accurate tracking and documentation of assets.
  • Management and payment of CUG lines to employees on a monthly Basis
  • Water reorder level restock to ensure constant provision

Digital Systems Management and Training

  • Manage and coordinate AppSheet reporting and training for administrative data collection.
  • Train store admin officers on the proper use of reporting tools and data management systems.
  • Ensure compliance with digital documentation standards and reporting accuracy.

Key Skills and Qualifications

  • Education: Bachelor’s degree in Business Administration, Computer Science, Information Management, or a related field.
  • Experience: 3-5 years of experience in data analysis, administration, or MIS roles within retail or corporate environments.

Technical Skills:

  • Proficiency in Microsoft Excel, Google Sheets, and data visualization tools.
  • Experience with digital documentation and reporting systems (e.g., AppSheet, ERP, or MIS platforms).
  • Knowledge of energy monitoring and diesel tracking systems is a plus.

Soft Skills:

  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and organizational skills.
  • Good communication and reporting abilities.
  • Ability to train and guide store admin officers on data management processes.
