ABOUT THE JOB: 

The CPIMS/Data Officer will manage and coordinates all Child protection data across location of intervention and oversees EYN Projects CPIMS+ running and conduct regular data cleaning, analysis and update IPTT with support from MEAL Coordinator. 

MAIN RESPONSIBILITIES: 

The CPIMS/Data Officer will be responsible for the following, including those not listed but are extensions of those expressly stated: 

  • Conduct Data Collection and Analysis and ensure confidentiality of data at all levels. 
  • M&E and knowledge management to track results of the prevention and response to violence against children.
  • Carry out monthly/regular analysis of data.
  • Provide monthly progress reports indicating progress in execution of an assignment.
  • Ensure the information on the physical case files registered under case management are safely and accurately synchronized into the Child Protection Information Management System Plus (CPIMS+) data Base, and exported from CPIMS on a regular base.
  • Review the quality of the data, identify any inconsistency and report the project team members and line manager for corrective and follow-up actions/ ensure system audit findings are addressed on time as per CP standards.
  • Support by ensuring records of each individual child’s case is captured on the CPIMS+ and the master lists are produced and protracted as necessary and as needed for reference. This includes all stages of the case management process such as registration, initial assessment, case plan, referrals, follow up and review, and case closure.
  • Responsible for ensuring all data protection protocols are observed while managing information collected.
  • Monitor adherence to procedure on individual cases and ensure that roles and responsibilities are upheld.
  • Actively participate and facilitate trainings and meetings on FTR, case management, data management, reporting, monitoring and evaluation, CM SOPs and issues of confidentiality. 
  • Assign database codes to new individual cases in an organized and accurate manner.
  • Implement the Data Protection Policy/Information Sharing Protocol and appropriate standards for confidentiality of the information on the children at Field level and monitor staff adherence to it.
  • Closely support the Child Protection Project Officers, Case Management Officer and Community Based volunteers on the use of CPIMS including filling of the case management paper forms, data backups, data screening, and managing their caseload by extracting individual caseload information
  • Ensure that good practice is followed in managing and storage of information with respect for Do No Harm principles and confidentiality and adherence to the information sharing protocol especially within EYN Projects..
  • Monitor and report trends in case management through producing monthly, disaggregated statistics and qualitative updates of progress on case management work based on agreed template for EYN Projects internally. Periodically run the trends and analysis from the CPIMS.
  • Alerts team members about recurring problems & communicates updates on issues in a timely manner to ensure productivity.
  • Contributes to ongoing reflection and learning within the team to improve programme performance.
  • Work closely with the ICT teams, and other relevant technical and field staff on the roll out of the CPIMS /CPIMS+ where necessary.
  • Comply with all relevant EYN Projects’ policies and procedures with respect to child protection, code of conduct, health and safety, security, equal opportunities and other relevant policies.
  • Perform any other activities as delegated by line manager.
  • Any other function that may arise

Required Skills and Competencies: 

  • Excellent interpersonal and communication skills, with the ability to engage and collaborate effectively with children, families, and stakeholders.
  • Strong analytical and problem-solving skills, with experience in monitoring and evaluation.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Proficiency in Microsoft Office Suite and experience with data management and reporting tools.

Qualification: 

  • Bachelor’s degree in Social Work, Child Development, Psychology, or a related field.
  • Relevant certification or licensure.
  • Proven experience (at least 2 years) working with children and families in a case management or social work role
