Job Summary
- The Data Entry / IT / Inventory Officer is responsible for accurately entering and maintaining data in the organization’s systems, managing IT infrastructure and support, and overseeing inventory operations to ensure proper tracking, documentation, and stock control.
Key Responsibilities
Data Entry:
- Accurately input data into databases, spreadsheets, and other software systems.
- Verify and cross-check data for accuracy and completeness.
- Generate regular reports from the data management system.
- Maintain confidentiality of sensitive information.
IT Support:
- Assist in the installation, configuration, and maintenance of computer hardware and software.
- Troubleshoot IT issues related to hardware, software, or network connectivity.
- Maintain system backups, updates, and security protocols.
- Support staff with IT-related issues and provide basic training when necessary.
- Ensure proper functioning of office equipment like printers, scanners, and copiers.
Inventory Management:
- Record and update stock levels in inventory systems.
- Conduct regular inventory audits to reconcile physical stock with records.
- Monitor stock levels to avoid overstocking or shortages.
- Coordinate with suppliers for timely restocking of materials.
- Generate inventory usage and stock movement reports.
- Implement proper storage and labeling practices to ensure easy retrieval of inventory.
Qualifications and Skills
- Bachelor’s Degree or Diploma in Computer Science, Business Administration, Supply Chain Management, or a related field.
- Proven experience in data entry, IT support, or inventory management.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and inventory management software.
- Knowledge of IT systems, troubleshooting, and basic networking.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to multitask and work under minimal supervision.
Preferred Skills:
- Experience with ERP or inventory software systems.
- Basic knowledge of database management.
- Familiarity with warehouse or stockroom procedures.
Working Conditions:
- Office environment with occasional travel to storage or inventory sites.
- May require lifting or moving inventory items.
- Flexible to work overtime during busy inventory periods or IT emergencies.
